AI and automation

AI and Business Automation for Companies: Chatbots, Workflows and Integrations

AI automation means connecting your company's applications and handing repetitive work to automated workflows and AI assistants that work on your own data. A proof of concept starts at €2,500 + VAT.

What’s included

  • 01

    RAG AI chatbots

Assistants that answer from your documentation, cite their sources and hand over to a person when they don't have the information.

  • 02

    Process automation

n8n workflows connecting CRM, email, invoicing and ticketing, with AI nodes for classification and simple decisions.

  • 03

    Document data extraction

Automatic reading of invoices and contracts with OCR and language models, with validation of the key fields.

  • 04

AI in your CRM or ERP

Conversation summaries, lead scoring and context-aware email drafts, added to the systems your team already uses.

  • 05

    Predictive analytics

Models that estimate churn risk, demand or anomalies, with a dashboard and alerts.

  • 06

    Voice agents

Answering calls, booking calendar appointments and qualifying requests based on defined scripts, with handover to a person when needed.

AI applied to a concrete process

AI projects that fail usually start from the technology: “we want a chatbot too.” The ones that work start from a process that eats up time every day: answering the same questions, copying invoices by hand, sorting emails manually. The question to ask first is which process to automate first.

Our principle is “start small”: one use case, a POC on real data, a clear decision on whether it is worth scaling. Only then do we build the full system.

Typical use cases for a services or distribution company:

  • an assistant that answers customers based on your documentation and commercial policies, handing over to a colleague when a question falls outside the usual pattern;
  • reading supplier invoices received by email and entering the data into the accounting software, with checks on the tax ID (CUI), total and date;
  • classifying incoming requests and routing them automatically in the CRM to the right person;
  • weekly reports generated automatically from existing data.

We keep the recurring cost of AI models under control through caching, routing simple questions to cheaper models and well-designed prompts. All of this appears in the monthly dashboard, alongside the success rate and user feedback.

Budget tiers

Tier Duration What’s included Indicative price
AI POC 2 weeks one process, real data, measurable result from €2,500 + VAT
RAG chatbot in production 4–10 weeks website or CRM integration, guardrails, logging €4,000–€8,000 + VAT
Recurring AI model cost monthly depending on conversation volume €50–€300/month + VAT

Production implementations include 3 months of maintenance and fine-tuning. Enterprise projects, with multi-agent systems, fine-tuned models or dedicated GPU infrastructure, are coordinated through our specialist brand ai-automated.eu.

Safety, data and transparency

A customer-facing AI assistant has to be verifiable: it must cite its source, admit what it doesn’t know and hand the conversation over to a person when needed. AI hallucinations can’t be eliminated entirely, but they can be limited with grounding in your documents, validation rules and human review.

On the regulatory side, the EU AI Act introduces obligations in stages, with a focus on transparency for chatbots and generated content. This information is general in nature and does not replace legal advice.

Marketing and CRM automation is covered separately under digital marketing and automation. The first step is a free workshop where we identify 2–3 candidate processes. Book your AI workshop.

How we work

  1. Step 1

    Process identification

A workshop of a few hours where we pick 1–2 high-volume, rule-based processes and define how success will be measured.

  2. Step 2

    POC in 2 weeks

We build a working prototype on real data, on a small sample, compared against how the work is done today.

  3. Step 3

    Implementation with guardrails

We go to production with response validation, fallbacks, cost limits, full logging and the option for human intervention.

  4. Step 4

    Monitoring and iteration

We track cost, success rate and user feedback and fine-tune the system monthly.

Frequently asked questions

Another question? +40 750 293 932 · office@secureitsolutions.ro

How much does an AI chatbot for a website cost?

A complete RAG chatbot, with indexed documentation, a website widget, conversation history and human handover, costs roughly €4,000–€8,000 + VAT. On top of that comes the cost of the AI models, usually €50–€300/month + VAT, depending on volume. A POC covering 1–2 use cases starts at €2,500 + VAT.

How do you prevent made-up answers?

We combine three mechanisms: answers based only on the indexed documents, with the source cited; rules that validate format and content; and human approval for high-stakes actions. If it can't find a relevant source, the assistant says it doesn't know. The risk never disappears completely, which is why every answer is logged for review.

When will I see the first results?

The POC is working about 2 weeks after kickoff, and full implementation usually takes 4–10 weeks, depending on integrations. We agree on the success metrics together at the start and report on them monthly.

Is my data safe with external AI models?

We use enterprise APIs whose contractual terms exclude using your data to train models, and where possible we choose processing in the EU. For highly sensitive data, open-source models can run on your own infrastructure, through our specialist brand ai-automated.eu.

What are my obligations under the AI Act?

For most systems used by SMEs, such as chatbots, the main obligation is transparency: users must know they are talking to an AI system, and generated content must be labeled accordingly. Systems classified as high-risk have additional requirements. The classification depends on the specific case, and for a legal opinion we recommend a specialized lawyer.
